Hertz

Customer Service Automation · Enterprise Knowledge Search · IT Operations Automation

Hertz needed to modernize hundreds of legacy processes—employee shift planning, roadside-assistance lookups across vehicle manuals on SharePoint, and payroll updates—to improve responsiveness for 26,000+ employees serving customers across 11,000+ rental locations in 160 countries.

11,000+ rental locations in 160 countries
26,000+ employees
Fleet of 560,000+ vehicles
Over 15% reduction in time to resolve customer issues during agent pilot

Solution

Hertz developed a suite of low-code applications on Power Platform to drive enterprise automation and AI innovation. The 'Plan My Day' app integrates Microsoft Shifts data from Teams, Palantir workflow information, and operational reports, unified in Dataverse to create a single source of truth for employee shift management and huddle planning. A second AI-driven agent, built with Microsoft Copilot Studio, provides intelligent roadside assistance to customers by retrieving vehicle manuals, manufacturer websites, government vehicle databases, and instructional video platforms. Copilot Studio enforces precise guardrails through limited knowledge source configurations and natural language constraints. Both solutions leverage Power Automate for cloud flows and API integrations, demonstrating how low-code platforms enable rapid innovation while maintaining governance and data security.

Data flow

Employee shift data flows from Microsoft Shifts through Power Automate into Dataverse, combined with operational huddle sheet data from internal systems. The Plan My Day app queries Dataverse to display unified shift and planning information. For roadside assistance, customer queries enter Copilot Studio, which retrieves context from vehicle manufacturer sites, government databases, and instructional videos, processes the query through fine-tuned agent logic, and returns step-by-step instructions back to the customer service representative. All data operations are logged and governed through Power Platform security controls.

Architecture clues

  • Agent extended with links to instructional video platforms
  • Automatic payroll updates pushed to ADP system
  • Copilot Studio agent ('Manny') uses natural-language queries grounded in a limited set of trusted vehicle-manufacturer sites and a government VIN lookup
  • Future plans: image recognition in Copilot Studio and multi-agent orchestration
  • Plan My Day Power App integrates Microsoft Shifts and Palantir data via Dataverse using Power Automate cloud flows and APIs

Evidence from the source

An early pilot of its agent, built on Copilot Studio has already reduced the time to resolve customer issues by over 15%.
This is actually the first agent that I’ve created. Even if I could do this with custom code, it would have taken a lot longer.
We have literally hundreds of processes that could benefit from automation and AI, and we see Power Platform as a fast, efficient way to develop solutions that deliver those benefits.
Work shift data from Microsoft Shifts and Palantir moved to Dataverse using Power Automate cloud flows and APIs.
