Paychex

Customer Service Automation

Paychex needed a secure way to help call-center representatives answer complex payroll, benefits, and compliance questions faster while using feedback and interaction data to keep improving its new AI assistant.

MongoDB Atlas was deployed in less than one month and can help Paychex deploy a full dataset across data centers in as little as 27 minutes.
Paychex serves more than 745,000 clients and processes more than one million payrolls in a single day.
The company manages 800 instances across 140 applications, with 100 instances hosted on premises.

Reported impact

Solution

Paychex launched a beta AI copilot for HR service representatives on MongoDB Atlas so it could unify knowledge retrieval, feedback capture, and model improvement in one operational store. The assistant uses ChatGPT to query a broad knowledge base that combines call and chat transcripts, internal databases, government regulations, and third-party datasets, helping representatives answer complex customer questions more accurately. Atlas stores the generated interaction data and user feedback so the team can iteratively retrain the out-of-the-box models, measure adoption, analyze question patterns, track response speed, and build visualizations for continuous tuning. The system also preserves conversational context to improve follow-up answers. Atlas was deployed in less than a month, and Paychex can roll out full datasets across data centers in as little as 27 minutes while keeping MongoDB central to its cloud-first AI strategy.

Data flow

Call and chat transcripts, internal data, government regulations, and third-party datasets are queried through ChatGPT, the responses and feedback are stored in MongoDB Atlas, and Paychex uses that stored interaction data to retrain models, build visualizations, and improve future answers.

Solution architecture

  1. Compute
    • ChatGPT Generates representative-facing answers from Paychex’s unified knowledge base during call-center interactions.
  2. Storage
    • MongoDB Atlas Stores Paychex’s AI assistant interaction data, feedback loops, and operational knowledge needed to improve representative responses.

Architecture clues

  • Atlas stores user feedback and interaction telemetry to retrain models iteratively.
  • Paychex uses MongoDB automation to deploy full datasets across data centers in 27 minutes.
  • The AI copilot queries a unified knowledge base spanning transcripts, internal systems, regulations, and third-party data.
  • The solution remembers previous interactions to improve follow-up responses.

Evidence from the source

When users provide feedback on the quality of the model’s responses, the data stored in MongoDB Atlas iteratively retrains the out-of-the-box models.
“Anything you can do to help make individual workers more productive is a win.”
“As with anything that’s data driven, the quality of the data and how it’s curated to solve the problems at hand will define the results.”
“We’re using our AI copilot solution, powered by MongoDB Atlas, to better support our service representatives.”

Scoring methodology

How scores are calculated

Customer Reference Value measures usefulness as a customer reference. Evidence Confidence measures the quality and traceability of available evidence, not independent verification.

Customer reference value100/100
  • Problem clarity20/20
Measures whether the customer's operational problem is specific enough to compare.
  • Implementation depth25/25
Rewards named components, data flow, integrations, and architecture detail.
  • Outcome specificity20/20
Measures whether the reported benefit is concrete rather than a generic claim.
  • Quantified impact25/25
    2 metrics describe measurable impact.
  • Deployment scale10/10
Rewards evidence of a live or scaled deployment and meaningful integration scope.
Evidence confidence89%
  • Source authority20/25
The main evidence is an official vendor-published customer story.
  • Claim traceability21/25
10 of 12 key fields link to a named source.
  • Direct evidence20/20
    4 direct source quotes retained.
  • Date provenance10/10
The publication date comes from the source page or publisher.
  • Source transparency8/10
1 source reference document publisher, URL, authority, retrieval, and supported fields.
  • Implementation specificity10/10
Rewards source-backed components, data flow, quantified impact, and a specific outcome.
