Workleap

Enterprise Knowledge Search · Real-time Analytics

Workleap wanted to embed generative AI across its HR and talent-management suite without stitching together separate third-party tools for vector search, full-text search, filtering, and cross-product data retrieval.

The company migrated to Atlas as its foundational database in 2014.
Workleap is trusted by over 20,000 companies.
Workleap launched a proof of concept of Workleap AI in just a few days.

Solution

Workleap extended its HR and talent-management suite with Workleap AI by layering MongoDB Atlas Search and MongoDB Vector Search onto the Atlas data platform it already used as its system of record. Product data from surveys, feedback, performance reviews, documents, calendars, audio recordings, and other connected business systems stays in Atlas, where hybrid search combines lexical matching and semantic retrieval to supply context for AI assistants and analytics. The same retrieval layer lets managers ask natural-language questions across multiple Workleap products, generate performance-review digests, search connected apps, and analyze employee-engagement trends without manually stitching together several datasets. Because storage, vector search, and text search live on one platform, Workleap built its proof of concept in days and moved to production quickly while avoiding a patchwork of third-party vector, filtering, and search tools.

Data flow

Survey responses, feedback, performance-review data, documents, calendar information, and audio recordings remain in MongoDB Atlas, where Atlas Search and MongoDB Vector Search retrieve the most relevant context and feed Workleap AI features that answer questions, summarize data, and recommend actions to managers.

Solution architecture

3 components · 2 layers
  1. Storage
    • MongoDB Atlas Stores the operational data behind Workleap's HR products and AI experiences.
  2. Serving
    • MongoDB Atlas Search Provides relevance-based text retrieval across surveys, documents, and connected product data.
    • MongoDB Vector Search Adds semantic retrieval so Workleap AI can understand meaning across varied employee and product content.

Architecture clues

  • Atlas already housed the core data, which allowed the AI layer to be added without a new data stack.
  • Managers receive AI-generated digests and recommendations based on both qualitative and quantitative survey data.
  • The system retrieves context from documents, calendars, audio recordings, and multiple Workleap products.
  • Workleap AI uses hybrid search that combines exact-text and semantic retrieval.

How scores are calculated

Customer Reference Value measures usefulness as a customer reference. Evidence Confidence measures the quality and traceability of available evidence, not independent verification.

Customer reference value75/100
  • Problem clarity20/20
Measures whether the customer's operational problem is specific enough to compare.
  • Implementation depth25/25
Rewards named components, data flow, integrations, and architecture detail.
  • Outcome specificity20/20
Measures whether the reported benefit is concrete rather than a generic claim.
  • Quantified impact0/25
    0 metrics describe measurable impact.
  • Deployment scale10/10
Rewards evidence of a live or scaled deployment and meaningful integration scope.
Evidence confidence77%
  • Source authority20/25
The main evidence is an official vendor-published customer story.
  • Claim traceability21/25
10 of 12 key fields link to a named source.
  • Direct evidence20/20
    4 direct source quotes retained.
  • Date provenance0/10
The publication date has no documented provenance.
  • Source transparency8/10
1 source reference document publisher, URL, authority, retrieval, and supported fields.
  • Implementation specificity8/10
Rewards source-backed components, data flow, quantified impact, and a specific outcome.
