Medtronic

Document Processing

Medtronic’s teams were spending too much time manually matching invoices, proof-of-delivery documents, and purchase orders, which slowed cash-flow-related processes, introduced errors, and kept staff away from more strategic work.

Reported impact

Business outcome

Medtronic dramatically reduced processing time, improved matching accuracy, and freed staff for strategic work while also helping reduce open accounts receivable and improve cash flow.

Solution

Medtronic partnered with IBM Consulting and IBM Neudesic to deploy the Document Intelligence Platform Accelerator, an AI-powered automation layer built on Microsoft technology. The platform ingests invoices, proof-of-delivery files, and purchase orders, then uses machine learning and generative AI to extract and match information even when documents contain poor scans, stamps, or inconsistent layouts. IBM Neudesic customized the accelerator so it fit Medtronic’s existing workflows rather than forcing a new manual review process, and the first departmental rollout was completed in only four weeks. Because the system automates the matching step rather than simply flagging issues, teams can process documents at a much higher rate while reserving human effort for exceptions and higher-value analysis. The project therefore improved both operational accuracy and the financial workflow around open receivables, showing how document intelligence can produce immediate business value in a global healthcare operation.

Data flow

Invoices, proof-of-delivery files, and purchase orders are ingested into the DIP Accelerator, AI extracts and matches the relevant fields across the documents, and the resulting match decisions are pushed back into Medtronic’s credit-services and supply-chain workflows for faster resolution.

Solution architecture

3 components · 2 layers
  1. Compute
    • Document Intelligence Platform Accelerator Automates ingestion and matching of invoices, proof-of-delivery documents, and purchase orders.
  2. Orchestration
    • IBM Consulting for Microsoft Led the transformation and aligned the document-automation solution to Medtronic’s operational workflows.
    • IBM Neudesic Customized the accelerator and its Microsoft-based integration to fit Medtronic’s key business processes.

Architecture clues

  • The accelerator was customized to handle poor scans, stamps, and non-standard layouts.
  • The initial rollout targeted one department before wider transformation.
  • The solution uses both machine learning and generative AI.

How scores are calculated

Customer Reference Value measures usefulness as a customer reference. Evidence Confidence measures the quality and traceability of available evidence, not independent verification.

Customer reference value100/100
  • Problem clarity20/20
Measures whether the customer's operational problem is specific enough to compare.
  • Implementation depth25/25
Rewards named components, data flow, integrations, and architecture detail.
  • Outcome specificity20/20
Measures whether the reported benefit is concrete rather than a generic claim.
  • Quantified impact25/25
    2 metrics describe measurable impact.
  • Deployment scale10/10
Rewards evidence of a live or scaled deployment and meaningful integration scope.
Evidence confidence89%
  • Source authority20/25
The main evidence is an official vendor-published customer story.
  • Claim traceability21/25
10 of 12 key fields link to a named source.
