Tata Projects Limited

Document Processing

Tata Projects had to review 1,000-2,000 page tender packages with non-standard terms, scanned tables, and frequent corrigenda, so manual analysis took more than four days per bid and made it difficult to spot risk and respond quickly enough to stay competitive.

1,000-2,000 pages of dense, sometimes unstructured documentation
30% faster contract decisioning
Over 20% improvement in bid handling capacity
Over 50% reduction in manual effort: Processing time reduced from four days to less than two days

Reported impact

Business outcome

TenderSummAIze gave Tata Projects a faster and more reliable bid-preparation workflow, reducing manual review time, increasing accuracy, and helping the company evaluate more tenders with the same teams while shifting effort from clerical document handling to strategic commercial analysis.

Solution

Tata Projects and TCS built TenderSummAIze, a generative AI tender-management portal on Microsoft Azure that turns bulky infrastructure bid documents into structured, searchable working material for legal and contracts teams. Tender files and scanned pages are processed with Document Intelligence and Microsoft Azure OpenAI so the system can chunk clauses semantically, map corrigenda back to the original document set, answer tender questions, and generate tailored summaries. Microsoft Azure Durable Functions orchestrates the long-running workflow, while Cosmos DB and Microsoft Azure Queue hold state and scale data movement across the pipeline. The portal lets teams upload, review, query, summarize, and track tenders through one interface, replacing reactive document reading with a governed AI workflow that surfaces liabilities and key terms in time for faster bid decisions.

Data flow

Tender documents, scanned pages, and corrigenda are uploaded into TenderSummAIze, where Document Intelligence extracts content and Microsoft Azure OpenAI organizes clauses, highlights liabilities, answers questions, and produces summaries. Durable Functions and Azure Queue orchestrate the long-running steps, Cosmos DB maintains the working state and document lineage, and legal and contracts teams consume the results through the portal for faster bid decisions.

Solution architecture

6 components · 5 layers
  1. Ingest
    • Document Intelligence Extracts and structures text from complex tender documents and scanned content.
  2. Compute
    • Microsoft Azure OpenAI Supplies the generative AI capabilities used for question answering, semantic chunking, and summary generation.
  3. Storage
    • Cosmos DB Stores tender data and analysis state so teams can keep a single source of truth across updates.
  4. Serving
    • TenderSummAIze Provides the portal where legal and contracts teams upload, review, query, summarize, and track tender documents.
  5. Orchestration
    • Microsoft Azure Durable Functions Coordinates the long-running tender analysis tasks and workflow steps.
    • Microsoft Azure Queue Scales data movement and task execution across the tender-processing pipeline.

Architecture clues

  • Cosmos DB and Microsoft Azure Queue provide the scalable data-management backbone.
  • Prompt engineering standardizes business terms and canned summaries for different tender questions.
  • The portal maintains audit trails while keeping teams on a single working version of tender changes.
  • The workflow semantically chunks clauses and maps corrigenda back to original documents.

Scoring methodology

How scores are calculated

Customer Reference Value measures usefulness as a customer reference. Evidence Confidence measures the quality and traceability of available evidence, not independent verification.

Customer reference value100/100
  • Problem clarity20/20
Measures whether the customer's operational problem is specific enough to compare.
  • Implementation depth25/25
Rewards named components, data flow, integrations, and architecture detail.
  • Outcome specificity20/20
Measures whether the reported benefit is concrete rather than a generic claim.
  • Quantified impact25/25
    5 metrics describe measurable impact.
  • Deployment scale10/10
Rewards evidence of a live or scaled deployment and meaningful integration scope.
Evidence confidence95%
  • Source authority20/25
The main evidence is an official vendor-published customer story.
  • Claim traceability25/25
12 of 12 key fields link to a named source.
